Completing the forms

  1. Hello and welcome to our video guide to the online application process on the Planning Portal.
  2. This video will show you how to complete the 'Forms' section of your online application.
  3. The 'Forms Overview' page shows you the status of each part of the application form. This will either be 'Complete' or 'Incomplete'.
  4. Usually the site location is already complete because this information is provided when creating an application.
  5. To begin, click on the title of the first section. This will take you to that section of the form to complete.
  6. We suggest that you initially work your way through the form in order and use 'sentence case' when entering details onto the form.
  7. You will need to fill in all the questions within the forms. You can move between them with the 'Next' and 'Previous' buttons.
  8. Clicking on either of these buttons will save your progress and change the status of that section on the forms overview screen to 'Complete'.
  9. Throughout the forms you will be asked to supply various dates. Dates need to be inputted numerically with forward slashes to separate the numbers, starting with two digits for the day, two digits for the month then four digits for the year. If they are not inputted in this format, the question will not show as complete.
  10. Alternatively, you can click on the 'calendar' icon next to the field that will allow you to pick the date on screen.
  11. There are also tabs within the application screen that allow you to navigate to different parts of the application.
  12. However, after entering data onto the form, make sure you click 'Next' to save your work before clicking any of the tabs, otherwise, the information you have just entered in that section will not be saved.
  13. Some questions will ask you to supply a document reference so the local planning authority can see which document relates to it.
  14. There are no restrictions on what reference you use, but it must match the reference that is on the document you upload.
  15. You can upload the necessary documents later in the 'supporting documents' section and there is a separate help video that shows how to do this.
  16. Once the main questions have been answered, you will be taken to the 'Certificates' section.
  17. This section confirms ownership of the application site, and that all parties have been given notice of the development you are applying for.
  18. Completing the three 'Yes or No' questions will determine which certificate is required. The help icon on this page will show further details of each certificate and if any notices are required.
  19. Should you be required to give notice to other owners or any agricultural tenants, you can download the relevant notices from the 'overview' page.
  20. These will need to be completed and sent to the relevant persons (as detailed on the certificates) before you submit the application.
  21. All the certificates also ask you to detail your role (for example applicant or agent), and sign and date a declaration.
  22. Make sure you check the 'declaration made' box. This is important, it's the online equivalent to signing a form and if you don't, it won't be accepted.

  24. Alternatively, you can click on the 'calendar' icon next to the field that will allow you to pick the date on screen.
  25. Once this is done, click the 'next' button and the declaration will be made and the certificates section certificate will be saved.
  26. You will then be asked to confirm that none of the land forms part of an agricultural holding. If it does, then notice will also have to have been given to all the agricultural tenants.
  27. Please remember to scroll to the bottom of the certificate and complete the declaration as with the previous certificate.
  28. Once this is done, click the 'next' button and the declaration will be made and the certificates section will be completed.
  29. A final declaration will then have to be made.
  30. Please read the declaration and check the box if you agree with it. This is important, it's the online equivalent to signing a form and if you don't, it won't be accepted.
  31. You then need to complete the declaration by entering that day's date and clicking 'Confirm'.
  32. Note that clicking the confirm button does not submit your application, the actual submission is done at a later stage.
  33. You will then be returned to the 'Forms Overview' page.
  34. The last step in the forms section is 'Validation'. This automated process checks that the forms have been filled in correctly.
  35. The forms need to be fully validated before the system will let you submit your application.
  36. Clicking on 'Validation' will take you to the validation section which lists areas of the form that still need to be completed.
  37. This section can also be useful if you are having problems filling in the form and need help identifying which sections are incomplete.
  38. Below each section header it says more specifically what needs to be done for the form to validate.
  39. Clicking on that instruction will take you to the section of the form that needs completing.
  40. When amending the form, you need to make sure you click 'next' to save what you have done before going back to the overview.
  41. Not doing this will result in your amendments being lost and the section remaining invalid.
  42. If you want to download a printable copy of your forms click on the 'print entire form' link to the right.
  43. This will download a PDF to your computer which will also include any details you have entered on the forms.
  44. Additional help can be found by clicking on the 'help' icons on the form.
